HireFlow
Recruitment CRM software for agencies

Know the company. Remember the conversation.

A recruitment relationship rarely belongs to just one email address. HireFlow gives each client company a shared record, with individual hiring contacts and the recruitment activity that connects them.

Actual application interface. Fictional sample records. Demo changes stay in your browser.

Multiple contacts, one clear client record

Add hiring managers, directors and other contacts to the same company. Give each person a role, contact details and notes. Link the appropriate contact to a vacancy and record contact-specific conversations. The company remains the centre of the account, while each person keeps a useful history.

Follow relationships through to recruitment work

Keep client vacancies, opportunities, agreed fee information and follow-up tasks beside the relationship record. A recruiter taking over an account can read its notes and recent activity before contacting the client. Placement reporting connects back through the vacancy to show which client relationships are generating recorded outcomes.

Make the CRM fit your specialism

Choose a recruitment template and begin with sensible fields and stages. Add useful custom fields, change relationship statuses and save views without writing code. Keep configuration focused on information your team will actually use. Shared configuration changes require the appropriate workspace role, and the assistant presents proposed changes for review.

A practical daily follow-up routine

Use the Home view to see due tasks and clients with no recent contact recorded. Ask the assistant to summarise the client record or prepare a follow-up draft. Check the facts, recipients and wording before sending. Email and calendar connections depend on provider authorisation; their verified connection state is shown in settings.

Useful answers before you begin.

Is this separate from the ATS?

No. Companies, contacts, vacancies and candidate applications share the same recruitment workspace. There is no separate CRM subscription to add.

Can a small agency start with the defaults?

Yes. Custom fields and workflows are optional. You can add clients and contacts immediately, then adjust the configuration as your process develops.
